How to get an event on the Social Calendar

Currently it is the job of our elected STC Social volunteers to think up and co-ordinate the Tall Club social events calendar. They are always looking for ideas for events and volunteers to host them. If you know of a great restaurant, dance spot or watering hole for us to meet and mingle... we want to know! Sporty, outdoor activities are always welcome and we are also looking for fun themes for house parties... got any ideas? 
 (See suggestions below.)

The Social Calendar is presented for approval at the monthly business meeting, held early in the previous month. This means you submit or suggest your event idea to the social chairperson(s) (email to: social@sacramentotallclub.org) about 1-1/2 months in advance of the actual event. After the business meeting, the details are gathered by the social chair and the hosts. (Upon request, we send an event form for you to fill out and a packet of host materials). The finished calendar is submitted to the editor, media and website by the 20th of the previous month.  Between the 1st Tuesday and the 20th, some minor changes and additions can be made (directly to the social chairs only), as long as these additions do not conflict with calendar events already decided.  Please try not to plan social events that conflict with the scheduled STC events, especially when these events draw STC folks away from the planned event.  It is vital to our club's success and survival that we support one another, be considerate of those who volunteer their time and effort, and follow this procedure.  Thanks!!

How to suggest an Activity (and what happens after that!):

  • Submit your suggestion 1-1/2 months in advance to the Social chairs  (email to: social@sacramentotallclub.org)

  • The STC Social Calendar is presented by the Social chairs at the Business meeting the month before the activity (early in the month) and approved by the Board members.

  • Details for the events are gathered by the Social chairs and the hosts. 

  • An Event form is sent to the hosts to fill out with all the pertinent details about the event they are hosting.

  • A packet of host materials is sent out, if requested.

  • Changes and/or additions to the Social Calendar are submitted until the 20th of the month before the event directly to the Social chairs. (email to: social@sacramentotallclub.org)

  • The final Social Calendar of Events is sent to the editor, media and website personnel on the 20th of the month before.

  • The Calendar of Events is put online by the Webmaster as soon as possible after information is received.

  • The editor includes the calendar in the newsletter for the next month.

  • The media chair distributes the Social event information as they see fit.

  • The Hotline is updated with the current information.

 

The Host Packet

For the TGIF or Event Host(ess),

You may request the following items for you to use or pass out at the TGIF or event you are hosting. The board developed the idea of giving hosts an event packet as a way to clearly ID where the STC group is seated in public places, to better promote STC to prospects, and keep members informed.

  • Five colored balloons and sticks to use with them. You can put the stick in a tall glass or beer bottle on the table(s). This way prospects will be able to see the STC table above the crowd. Ask the entrance host(ess) if you can place or tape a balloon to their stand so prospects and others will know we are in the place.

  • Applications (can also be downloaded and printed from this webpage - see STC Application Webpage)

  • STC Business Cards (be sure to include your name on the back of the card so new prospects know who referred them)

House Party guidelines and rules:

Party Information: The house is allowed up to $75 per house party. $20 per business function. All receipts must be submitted to the Treasurer for reimbursement. Reimbursement in excess of the allowance must be voted upon by the members at a business meeting prior to the function. The host shall provide sodas and waters for the guests. All parties are BYOB. No illegal drugs are allowed. The host is allowed two free guests. First time, height qualified prospective members are FREE!

Guidelines for party entrance fees: The following should be charged at the door for admission to house parties:  With food: Members $5, Non-members $7; without food: $10 for Members and $12 Non-members.  Exceptions to these standard charges can be made with the approval of the Social Chair, President or VP.   Of course, there might be special circumstances where you might want to charge different amounts depending on the event.  For instance, if you are having a Bunko party and want to have cash prizes at the end, you can charge an extra fee for those who want to participate in that activity.  Set up a spot for collection of the fees with a container for the money and a sign-up list for the guests.  Sometimes it is helpful to have a Greeter who can inform guests that a fee is due and where the collection site and sign-up list are.

There is never an entrance fee for business meetings for members or prospects.  However, if a House Party is combined with a business meeting, the normal entrance fees will be charged for those who want to stay after the meeting is over.  Again, first time prospects are always FREE.

Fees for Special Events, such as the Anniversary Dinner or the Fall Tall Ball, shall be decided by the event committee depending on the expenses incurred for the particular event.
